Aithan Distributors (E-Commerce) Platform ("we", "us", or "our") is a digital solution that simplifies procurement, inventory allocation, and payment routing for our distributors. As part of delivering the service, we collect and process personal data relating to the distribution of Aithan products. We are committed to processing that data lawfully, fairly, and transparently, in accordance with applicable data protection laws and industry best practice.

1. Information We Collect

We collect information you provide directly, which includes:

  • Name, email address, and telephone number provided when creating an account
  • Business name, CAC registration number, and business registered address provided when applying as a distributor
  • Identity documents and business registration documents uploaded during application
  • Order history, payment records, and communication with our support team

2. How We Use Your Information

We use collected information to:

  • Review and process distributor applications
  • Process orders and payments, and generate invoices/receipts
  • Communicate order updates, approval status, and support responses
  • Comply with legal and regulatory obligations, including tax records

3. Data Storage and Security

Your data is stored using Supabase's infrastructure with industry-standard encryption. Access to distributor documents and personal information is restricted to authorized Aithan Distributors staff. Payment processing is handled by Paystack; we do not store your card details. We continue to review and enhance our security practices to maintain a high level of protection for personal data, in accordance with applicable laws, including the Nigeria Data Protection Act (NDPA) 2023.

4. Data Sharing

Data is shared only with law enforcement agencies, courts, or other competent authorities where disclosure is required by law, court order, or legal process. Such disclosure may also occur where necessary to investigate or prevent fraud, financial crime, security incidents, or other unlawful activity, or where required to establish, exercise, or defend legal rights. We do not sell your personal data.

5. Data Retention

We retain personal data only for as long as necessary to fulfil the purpose for which it was collected — including compliance with legal and regulatory obligations, resolution of disputes, enforcement of agreements, and protection of our legitimate business interests. Where data is no longer required and there is no legal requirement to retain it, we take appropriate steps to securely delete, destroy, or anonymize it.

6. Your Rights

Under the Nigeria Data Protection Act 2023, you have certain rights regarding the personal data we hold about you, intended to give you greater control over how it is collected, used, and managed. These include the right to be informed, the right to access, the right to rectification, the right to erasure, the right to restrict processing, the right to data portability, the right to object to processing, and the right to withdraw consent.
